Privacy Policy

This Privacy Policy explains how [Company Legal Name]("UnitFlow," "we," "us") collects, uses, and shares information when you use our property management platform (the "Service"). It applies to Landlords, Property Managers, and Tenants who use the Service.

If you are a Tenant, most of your information is entered into UnitFlow by your Landlord or Property Manager, who controls that data and is responsible for how it is used outside the Service. Any questions about your specific lease or tenancy should go to your Landlord directly.

• Account information — name, email, and password (or Google account, if you sign in with Google).
• Property, lease, and tenant records — properties, units, rent amounts, lease terms, and tenant contact/application details entered by a Landlord.
• Payment information — when online rent payment or subscription billing is used, payment card and bank account details are collected and stored directly by our processor, Stripe. We do not store full card or bank account numbers on our own servers.
• Communications — messages sent between Landlords and Tenants in-app, and support requests you send us.
• Documents — lease documents and their signature status, processed via our e-signature provider.
• Usage data — log data such as IP address, browser type, and pages visited, used for security and to keep the Service reliable.

• To provide, maintain, and improve the Service;
• To process subscription billing and, where enabled, rent payments;
• To send transactional emails (e.g. payment receipts, lease reminders, verification codes, invitations);
• To detect, prevent, and respond to fraud, abuse, and security incidents;
• To comply with legal obligations.

We do not sell your personal information.

We share information with service providers who help us operate the Service, under contracts that limit their use of your data to providing services to us:

• Supabase — database, authentication, and file storage;
• Stripe — subscription billing and, for Landlords who enable it, rent payment processing;
• Resend — transactional email delivery;
• DocuSign — electronic signature and lease document delivery;
• Google Maps — address autocomplete and lookup;
• Cloudflare Turnstile — bot/spam protection on public forms;
• Vercel — application hosting.

We may also disclose information if required by law, to protect the rights and safety of UnitFlow or others, or in connection with a merger, acquisition, or sale of assets (with notice to affected users).

We retain account and property/tenant/lease data for as long as your account is active, and for a reasonable period after cancellation to allow data export and to comply with legal, tax, and accounting obligations. You can request deletion of your account and associated data at any time, subject to records we are required to keep by law.

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to certain processing. To exercise these rights, contact us at privacy@unitflow.app. If you are a Tenant and your information was entered by a Landlord, we may need to direct certain requests to your Landlord as the data controller for that information.

We use industry-standard safeguards — including encryption in transit, database-level access controls (row-level security), and restricted internal access — to protect your information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

The Service is not directed to children under 18, and we do not knowingly collect personal information from children.

We use essential cookies to keep you signed in and to remember your preferences. We do not currently use third-party advertising cookies.

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or in-app notice before they take effect.
